Archiving Mails and Using Labels in Google Mail

Labels do all the work folders do and give you an extra bonus: you can add more than one to a conversation. Once you've created a label, you can view all the messages with that label by searching, or by clicking the label name along the left side of your Gmail page.

Archiving moves messages out of your inbox and into any labels you've applied, letting you tidy up your inbox without deleting anything. Any message you've archived can be found in All Mail, in any labels you've applied to it, and in Gmail search results. When someone responds to a message you've archived, the conversation containing that message will reappear in your inbox.


A. Archiving emails

1. Select a message by checking the box next to the sender's name.
2. If you've already applied a label to the message, click Archive. If you have not yet applied a label to the message, click the Move to button and select Create new. Type in the name of your new label and click OK.

The message will then be moved out of your inbox and into the newly created label, and All Mail. Alternatively, if you have a conversation open, you can archive it by clicking Archive at the top of the page.

B. Creating a label

1. Click the "LABELS" menu, then select "CREATE NEW."
2. Type the name of your new label and click "OK."
3. To apply a color to your newly created label: move to your labels box, click the beige box next to the label name, and select the color to apply.

C. Editing a label name

1. Click the Labels menu, then select "MANAGE LABELS."
2. Click "RENAME" next to the label you want to edit.
3. Enter the new label name, and click "OK."

All the messages categorized under your old label name will now be categorized under your new label.

D. Deleting a label

1. Click the Labels menu, then select "MANAGE LABELS."
2. Click "REMOVE" next to the label you want to delete.
3. Confirm that you'd like to remove the label by clicking "OK."

All the messages categorized under your old label name will now be categorized under your new label.

Removing a label doesn't delete the messages previously categorized with that label.

NOTE: Use the Move to drop-down menu if you want to apply a label to a message and move it to that label at the same time.
